About the Role:

 

We are seeking a highly experienced and proactive Executive Assistant to provide high-level administrative and strategic support to senior leadership. The ideal candidate will have a proven track record of managing dynamic schedules, coordinating international travel, handling confidential information, and supporting key business initiatives. This role requires excellent communication, attention to detail, and adaptability in a fast-paced environment.

 

Key Responsibilities:

Executive Support:

 

  • Manage and maintain a busy calendar, appointments, and meetings across multiple time zones.
  • Resolve scheduling conflicts and prepare materials in advance.
  • Screen and manage calls, emails, and correspondence professionally.
  • Draft and edit reports, presentations, and other documents.
  • Act as a liaison between the executive and stakeholders.

Travel Coordination:

 

  • Organize international and domestic travel including flights, accommodations, and transportation.
  •  Prepare detailed itineraries and manage travel expenses.

 

Meeting & Event Coordination:

 

  • Schedule and coordinate meetings, events, and logistics.
  • Prepare agendas, take meeting minutes, and track follow-ups.

Administrative Support:

 

  • Organize and maintain digital and physical filing systems.
  • Process expense reports and handle administrative tasks.
  • Conduct research and summarize findings as needed.
  • Manage office supplies and ensure efficient operations.
  • Handle sensitive and confidential information with discretion.

 

Project Support:

 

  • Assist with ongoing projects and executive initiatives.
  • Track project timelines, deliverables, and status updates.
  • Support the creation of presentations and documentation.
  • Conduct targeted research as assigned.

Qualifications:

 

  • Bachelor’s degree from a reputable university is a must.
  • Minimum of 10 years supporting C-level or senior executives.
  • Proven experience with calendar and travel management.

Key Skills:

 

  • Excellent verbal and written communication.
  • Exceptional organizational and time-management abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience using AI tools to enhance efficiency and productivity.
  • Ability to learn and adapt to new technologies and platforms quickly.
  • Strong attention to detail and ability to manage multiple priorities.
  • Self-motivated, reliable, and proactive.
