About the Role:
We are seeking a highly experienced and proactive Executive Assistant to provide high-level administrative and strategic support to senior leadership. The ideal candidate will have a proven track record of managing dynamic schedules, coordinating international travel, handling confidential information, and supporting key business initiatives. This role requires excellent communication, attention to detail, and adaptability in a fast-paced environment.
Key Responsibilities:
Executive Support:
- Manage and maintain a busy calendar, appointments, and meetings across multiple time zones.
- Resolve scheduling conflicts and prepare materials in advance.
- Screen and manage calls, emails, and correspondence professionally.
- Draft and edit reports, presentations, and other documents.
- Act as a liaison between the executive and stakeholders.
Travel Coordination:
- Organize international and domestic travel including flights, accommodations, and transportation.
- Prepare detailed itineraries and manage travel expenses.
Meeting & Event Coordination:
- Schedule and coordinate meetings, events, and logistics.
- Prepare agendas, take meeting minutes, and track follow-ups.
Administrative Support:
- Organize and maintain digital and physical filing systems.
- Process expense reports and handle administrative tasks.
- Conduct research and summarize findings as needed.
- Manage office supplies and ensure efficient operations.
- Handle sensitive and confidential information with discretion.
Project Support:
- Assist with ongoing projects and executive initiatives.
- Track project timelines, deliverables, and status updates.
- Support the creation of presentations and documentation.
- Conduct targeted research as assigned.
Qualifications:
- Bachelor’s degree from a reputable university is a must.
- Minimum of 10 years supporting C-level or senior executives.
- Proven experience with calendar and travel management.
Key Skills:
- Excellent verbal and written communication.
- Exceptional organizational and time-management abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
